About the Role:

Our client is seeking a dedicated and highly organised Executive Assistant to provide comprehensive administrative and project-based support to two Firm Partners. This role is integral to ensuring smooth operations and will involve handling confidential matters with the utmost discretion. As the Executive Assistant, you will act as the key administrative point of contact for the Partners and support projects within their remit. You will also be an active member of the office’s administrative team, providing coverage and assistance as needed.

Key Responsibilities:

  • Administrative Support: Deliver high-level administrative assistance, including drafting business correspondence, producing accurate documents, and transcribing as needed.
  • Travel and Diary Management: Maintain travel itineraries, arrange travel and meetings, and manage diaries efficiently.
  • Meeting Coordination: Attend meetings, record and distribute minutes, and handle conference calls and videoconferences.
  • Research: Perform internet and client research to support various activities, including speeches and proposals.
  • Presentations: Prepare PowerPoint presentations.
  • General Office Duties: Process and sort mail, maintain filing systems, copy, bind, and fax documents, and handle records and files.
  • Expense Management: Process expense claims accurately and timely using the in-house system.
  • Issue Resolution: Research, prioritise, and follow up on incoming issues and concerns, determining appropriate actions or responses.
  • Schedule Management: Plan, coordinate, and ensure the Partner’s schedule is followed and respected.
  • Telephone Coverage: Provide telephone coverage, manage messages, and follow up on voicemail recordings as requested.
  • Relationship Management: Support maintaining professional relationships with clients, community boards, organisations, and committees.
  • Confidentiality: Maintain discretion and confidentiality in all relationships and interactions.
  • Prioritisation: Handle conflicting needs, proactively manage projects to completion, and meet deadlines under pressure.
  • Team Collaboration: Establish and maintain contacts within the firm, sharing best practices and maintaining a working knowledge of the organisation.
